Darkwood Education provides student participants with access to managed technical resources, including laptops, tablets, and related peripherals (collectively referred to as "Lended Equipment"), to facilitate remote learning, collaboration, and open-source software development.
Chit-System Ownership: All Lended Equipment remains the exclusive legal property of Darkwood Education and its fiscal sponsor. Equipment is granted to the student on a temporary, conditional loan framework for educational purposes only.
Program Separation or Completion: If a participant completes their program track, graduates, or departs the Darkwood Education environment, the device configuration profile will be remotely locked for security. The participant or their designated adult guardian must ship the device back to our designated inventory center within 14 business days using a pre-paid shipping label provided by the administration.
Administrative Recovery: Failure to return lended equipment prevents other students from utilizing these community resources and may result in the suspension of account privileges and the recording of a lost asset with our operations department.
I. Hardware Care
Participants are expected to treat shared community hardware with respect to preserve its longevity for future students.
Environmental Protection: Keep food, liquids, and unsafe environments away from the equipment at all times.
Physical Customization: Do not physically modify, scratch, or alter the device chassis. Removable protective cases are highly encouraged, and personal stickers may be applied to the case, but must not be placed directly on the school-owned hardware.
II. Managed Identity & Core Security
Credential Integrity: Users must keep their local system and Google Workspace identity credentials confidential. Administrative accounts and management parameters are restricted strictly to the assigned user and their primary adult guardian.
Restrictions and Profiles: Devices are pre-enrolled into our Mobile Device Management (MDM) provider to automate software deployments, provision secure environments, and enforce local network security. Bypassing, exploiting, flashing the firmware, or removing the MDM control profiles ("The Cheats") without written administrative consent constitutes a breach of this stewardship agreement and will result in the automated lockdown of the endpoint.
III. Administrative Access
To maintain a safe, compliant, and focused learning environment, users acknowledge that lended hardware is subject to routine system audits. Authorized Darkwood Education administrators retain the ability to inspect:
Local application footprints, browser histories, and cloud-hosted data volumes.
Operating system telemetry, hardware component status, and network connection parameters necessary for remote MDM troubleshooting.
IV. Content Management
Automated endpoint filtering is deployed to protect users from malicious web traffic, malware, and unsafe environments. Because web-filtering profiles are a layer of defense and not an absolute solution, adult guardians are requested to maintain standard household supervision over internet access.
V. Troubleshooting and Malfunctions
If a device suffers a hardware defect, system crash, or physical damage, the user must notify the Darkwood Education support portal immediately.
Authorized Repairs: All hardware servicing must be performed directly by Darkwood Education systems administrators or authorized vendor repair depots. Third-party retail repairs or self-servicing are strictly prohibited to protect equipment warranties and secure compliance.
Asset Maintenance Program (Optional Contribution): Guardians may opt into a voluntary monthly asset maintenance fund. This community fund pools resources to offset the cost of unexpected component failures and wear-and-tear across the entire student fleet.
VI. Component Cost-Recovery Framework
In the event that equipment is lost, stolen, or damaged through gross negligence or intentional misuse, Darkwood Education operates on an Actual-Cost Material Recovery model. We do not charge flat penalty fees or generate revenue from hardware losses. The user’s primary guardian will work with administration to cover the precise cost of restoring the resource:

Restricted to the actual asset replacement value of an equivalent depreciated device model. In the event of theft, an official local public safety report must be provided to clear the asset from our non-profit inventory.
By validating this digital document, the student participant and their primary adult guardian certify that they agree to act as responsible stewards of Darkwood Education resources under the terms outlined above.
